How Many Hours Should You Rent a Photobooth for 100, 200 or 300 Guests in Singapore?

Guests enjoying an AIBOOTHSG photobooth at a corporate event in Singapore

Planning a company Dinner & Dance, wedding, school celebration or family day in Singapore? One of the first questions we often need to help organisers answer is: how many hours of photobooth rental should we book?

Is two hours enough for 100 guests? Should a 200-person wedding have three hours? And if you’re organising a corporate event for 300 people, would one photobooth be enough?

At AIBOOTHSG, we’ve handled events with approximately 200–300 guests, and one thing we’ve learned is that guest count alone doesn’t determine how long you need a photobooth.

You also need to consider when guests arrive, whether they take photos individually or in groups, and — something we’ve noticed at our own events — how many people decide to visit the booth just before it closes!

Here’s our practical guide based on what we’ve experienced while running photobooths at events in Singapore.

Quick Answer: How Many Hours of Photobooth Rental Do You Need?

Here are our general recommendations for a classic photobooth:

Up to 100 guests
Suggested rental duration: 2 hours
Our recommendation: Usually a good starting point for smaller celebrations
100–200 guests
Suggested rental duration: 2–3 hours
Our recommendation: We generally prefer 3 hours when participation is high
200–300 guests
Suggested rental duration: 3–4 hours
Our recommendation: Consider a second station, particularly if most guests want photos
Above 300 guests
Suggested rental duration: Customised arrangement
Our recommendation: Plan multiple stations, operating hours and guest flow

These are planning recommendations rather than guaranteed capacities.

For our classic photobooth, we can typically handle around 25–30 photo sessions per hour under normal event conditions.

However, the number varies with group size, retakes, printing requirements and guest flow. AI transformation experiences also take slightly longer.

There’s another important distinction: one photo session doesn’t necessarily mean one guest. Five colleagues taking a photo together may count as just one session.

That’s why we always encourage organisers to think about the number of expected photo sessions, not just the total attendance.

1. Is Two Hours of Photobooth Rental Enough for 100 Guests?

For an event with around 100 guests, we would usually start by recommending two hours of classic photobooth rental. This can be suitable for birthdays, intimate weddings, school celebrations and smaller corporate events.

For example, if 100 people attend your event, it doesn’t mean all 100 guests will take individual photos. Some may not participate, while others may prefer group photos with their colleagues, friends or families.

With our typical classic booth operating pace of around 25–30 sessions per hour, a two-hour booking might accommodate approximately 50–60 sessions if guest flow remains steady. However, that’s an operating estimate, not a promise that every event will reach those numbers.

Our advice: Two hours is often a good starting point for 100 guests, especially if the photobooth remains accessible throughout the operating period.

Consider a longer booking if almost everyone is expected to participate, the booth includes AI transformations, or your event programme only allows guests to visit during a short break.

2. Photobooth Rental for 200 Guests: Why We Often Recommend Three Hours

Three hours is actually the most commonly booked photobooth duration among our customers. And we can understand why.

For a 200-person corporate Dinner & Dance or wedding, three hours gives guests more flexibility to visit the booth throughout the event.

But here’s something interesting we’ve noticed. The photobooth isn’t necessarily busiest when the event first starts.

At some events, guests arrive, register and head towards their tables. Others are busy catching up with friends or colleagues. They might notice the photobooth, but decide to come back later.

Perhaps they’re waiting for a friend who hasn’t arrived. Or they’ve spotted colleagues seated at another table and want to take a group photo together.

Before you know it, everyone starts gathering at the photobooth towards the end of its operating hours! We’ve experienced occasional queues during these peak periods.

This is why, for an event with around 200 guests, we often prefer three hours over trying to squeeze everything into two. It gives guests more opportunities to participate without feeling rushed.

Our practical tip for 200-guest events

Don’t assume everyone will take photos during the cocktail reception. If possible, arrange for the booth to remain operational during suitable portions of the main event, and remind guests of the closing time early enough.

You may be surprised how many people suddenly remember they haven’t taken their photos yet.

3. Photobooth Rental for 300 Guests: Is One Booth Enough?

When an event approaches 300 guests, our recommendation changes. Although a single photobooth can still work for some events, we would generally recommend considering two separate photo stations, especially when high participation is expected.

Why? Let’s use our typical classic photobooth capacity of approximately 25–30 sessions per hour as an illustration. Over three hours, one station might accommodate around 75–90 sessions if guest flow remains reasonably consistent.

But if you’re expecting large numbers of guests to take individual photos, repeat their sessions or queue during the final hour, one station can become a bottleneck.

Two independent photo stations can provide more capacity, assuming they each have the necessary capture equipment, printing arrangements and operating support.

Of course, a second booth isn’t always necessary. If your 300 guests are spread across a longer programme, and most prefer group photos, one well-planned station may still be suitable.

Our recommendation: For events with around 300 guests, share your programme and estimated participation with us. We’d generally lean towards discussing two photo stations instead of simply promising that one booth can serve everyone.

What about having a 360 video booth as a second activity?

Another option for larger events is to offer two different experiences. For example, a classic photobooth can provide instant printed souvenirs, while a 360 video booth gives guests the opportunity to create short, shareable videos. This can encourage guests to spread themselves across different activities.

However, a 360 video booth is not a direct replacement for a second printing station if the goal is to give everyone a physical photo.

4. Something We’ve Learned: Guests Love Taking Photos at the Last Minute!

This is probably one of the most useful things we’ve learned from running actual events. People don’t always head to the photobooth as soon as they arrive. They often wait until their friends are around.

At corporate events, colleagues may be seated at different tables. Some arrive later than others. Guests spend time chatting, eating or watching the event programme. When they eventually find the group of people they want to take photos with, they’ll head over together.

And sometimes, that happens just before our photobooth operating hours end. We’ve seen queues build towards the end of a session because several groups suddenly decide it’s their last chance to get a photo together.

It’s understandable. A photobooth isn’t just about taking a picture of yourself. For many guests, it’s about having a memory with the people they came to celebrate with.

How can event organisers avoid the last-minute rush?

Here are a few suggestions from our experience:

  1. Announce the photobooth earlier. Let guests know it’s available instead of waiting until the end of the event.
  2. Encourage colleagues to take group photos. Groups from different tables can arrange to meet at the booth before the final hour.
  3. Give a friendly closing-time reminder. Consider reminding guests 30–45 minutes before the booth closes, based on the queue and remaining operating time.
  4. Position the booth somewhere visible. Guests are more likely to remember it if they regularly pass by.
  5. Don’t assume the reception period will be the busiest. Consider how your guests actually socialise and move around the venue.

The objective isn’t to rush guests through their photos. It’s to make sure more people get to enjoy the experience.

5. How Many Guests Can a Photobooth Serve Per Hour?

For our classic photobooth setup, our typical operating experience is approximately 25–30 photo sessions per hour. Let’s put that into perspective.

2 hours
Illustrative classic photo sessions: 50–60 sessions
3 hours
Illustrative classic photo sessions: 75–90 sessions
4 hours
Illustrative classic photo sessions: 100–120 sessions

These figures assume a relatively steady operating pace and are not guaranteed minimums.

The actual output can be lower when large groups need more time, guests request retakes, printing arrangements take longer, or queues form around programme breaks.

It’s also possible for a session to include several people. For instance, if 90 sessions each include an average of three guests, that represents 270 guest appearances across those sessions. But this doesn’t necessarily mean 270 unique people — some guests may take photos more than once.

The key takeaway is simple: ask your photobooth provider about sessions per hour, not just how many guests they can serve. That gives you a more realistic basis for planning.

6. Does an AI Photobooth Take Longer Than a Classic Photobooth?

Yes. Based on our experience, AI photobooths tend to be slightly slower. With a classic photobooth, guests pose for their photos and receive their prints. With an AI photobooth, there’s an additional transformation process.

At AIBOOTHSG, AI image generation typically takes around 30 seconds, in addition to the time needed for taking photographs, selecting available themes and printing. That doesn’t automatically mean every AI session adds exactly 30 seconds to the queue — the overall experience depends on the actual operating workflow.

AI transformations can be especially enjoyable for corporate events because guests get to see themselves reimagined in creative scenes, including customised themes that incorporate company branding.

However, if your main priority is serving as many photo sessions as possible during a short window, a classic photobooth may be more suitable. Our advice is to choose based on what you want your guests to experience, rather than just selecting the newest technology.

7. When Should You Start Your Photobooth?

The operating window is just as important as the number of hours you book.

Corporate Dinner & Dance

For a typical corporate D&D, opening during the reception can give early arrivals something enjoyable to do while waiting for colleagues. But remember our observation about guests waiting for friends — depending on the programme, keeping the booth available into the event may help accommodate those later group photos.

For example, if reception begins at 6:30 pm and dinner starts at 7:30 pm, a three-hour photobooth window could run from 6:30 pm to 9:30 pm. That’s only a planning example, not a fixed schedule we’d recommend for every dinner.

Weddings

For weddings, we suggest scheduling the photobooth around periods when guests are free to mingle. Some guests prefer photos during reception, while others wait for friends and relatives before heading over together. A good photobooth schedule should complement the couple’s programme rather than compete with important moments.

Family Days and School Events

For family days and school functions, think about whether guests arrive at the same time or in different groups. If participation is spread throughout the day, a single booth may cope with more guests than it would during one concentrated rush. If everyone finishes an activity at once, queues can build quickly.

Roadshows and Brand Activations

For a marketing activation, the photobooth may be part of the attraction itself. In this case, operating hours should be based on expected visitor traffic, activation objectives and the amount of interaction required for each guest.

9. Our Simple Photobooth Rental Hours Calculator

You can make an initial estimate using three numbers:

  • Total event guests
  • Expected participation rate
  • Average group size per photo session

Estimated photo sessions = (Guest count × Participation rate) ÷ Average group size

For example, imagine a corporate event with 200 attendees, 75% expected participation and an average of two guests per session: (200 × 75%) ÷ 2 = 75 photo sessions.

Using our typical classic operating pace of 25–30 sessions per hour, that would take approximately 2.5–3.0 hours of continuous photo sessions under reasonably steady conditions.

However, we’d still need to consider whether everyone wants to visit during the same period. We’d also allow for repeat visits, retakes and unexpected delays. That’s why three hours would generally be our preferred starting point in this example, rather than relying on the mathematical minimum.

Results are estimates only, not guaranteed capacity. Our classic booth typically runs around 25–30 sessions per hour; AI transformations, retakes and large groups are slower. Peak-period queues (for example, just before closing) may require a longer booking or an extra photo station.

10. Frequently Asked Questions

Is 2 hours enough for a photobooth with 100 guests?

Two hours is usually a reasonable starting point for 100 guests, especially when people take group photos and participation is spread throughout the session. At AIBOOTHSG, our classic booth typically handles approximately 25–30 sessions per hour, but actual capacity varies.

How many hours of photobooth rental do I need for 200 guests?

We generally recommend considering three hours for a 200-guest event. It’s also our most commonly booked rental duration. This provides more flexibility for guests who prefer to wait for friends or visit later during the programme.

Is one photobooth enough for 300 guests?

It depends on participation and event timing. For around 300 guests, we’d generally recommend discussing two photo stations, especially when a large proportion of guests are expected to participate within a short period.

How many photo sessions can AIBOOTHSG handle in an hour?

For our classic photobooth, we typically handle around 25–30 photo sessions per hour under normal conditions. This is based on our operating experience, not a guaranteed capacity for every event.

Why do photobooth queues get longer near closing time?

From our experience, guests often wait for friends or colleagues before taking photos. Some arrive late, while others only find their group after dinner or other activities. As closing time approaches, several groups may decide to visit together.

Is an AI photobooth slower than a normal photobooth?

Generally, yes. AI transformations introduce additional processing time. At AIBOOTHSG, generation typically takes approximately 30 seconds, with posing, theme selection and printing adding to the overall experience.

Should I book an extra hour or a second photobooth?

If guests will participate throughout a longer period, extending the hours may be sufficient. But if many guests want photos during the same short window, a second independent photo station may be more effective than simply adding time.

Does unlimited printing mean every guest is guaranteed a photo?

No. Unlimited printing does not mean unlimited operating capacity. The number of sessions completed during your booking depends on the time available, guest behaviour and booth workflow.

11. Final Thoughts: The Best Photobooth Duration Depends on Your Guests

After handling photobooths at events with up to around 200–300 guests, we’ve learned that successful event planning is about more than just counting attendees. It’s about understanding how people behave.

Some guests head straight to the photobooth. Others wait for their friends. And quite a few only come over when they realise the booth is about to close!

For around 100 guests, two hours can be a good starting point. For 200 guests, we’d generally lean towards three hours. And for larger events approaching 300 guests, we’d recommend discussing additional photo stations, depending on the programme and expected participation.

Ultimately, we want your guests to enjoy taking photos, without feeling rushed or spending too much time in a queue.

At AIBOOTHSG, we provide classic photobooths, AI transformations and customised event experiences for corporate functions, weddings, school celebrations and private events across Singapore.

If you’re unsure how many hours to book, just share your estimated guest count and programme with us. We’ll be happy to help you work out a suitable arrangement.
